XFC Carrum Downs ("we", "us") respects your privacy. This policy explains what personal information we collect through this website, why we collect it, how we store it and who we share it with. It is written to align with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect

When you submit an enquiry or trial booking form on this website, we collect:

• Your name and email address — required, so we can identify and contact you.
• Your phone number — optional.
• Your class interest and preferred day — optional, so we can place you in a suitable class.
• Anything you write in the message field — optional. This field invites you to tell us about previous experience, injuries or the age of a child. Please only include what you are comfortable sharing; you are not required to disclose health information to book a trial.

We do not collect payment details through this website, and we do not ask for government identifiers.

Children's information

Our junior programs are for children. If you are enquiring on behalf of a child, we ask that a parent or guardian submits the form and provides only the details needed to place the child in the right class. We rely on the parent or guardian's consent for that information. If you would like a child's details removed, contact us and we will delete them.

Why we use it

• To respond to your enquiry and organise your trial session.
• To answer questions you have asked us.
• To keep a record of enquiries so we can follow up appropriately.

We will not use your details for marketing unless you have separately agreed to that. You can ask us to stop contacting you at any time.

How it is stored and who can see it

The forms on this website are provided by our customer-management platform (served from links.xfcgymcarrumdowns.com). When you submit a form, your details go directly into that platform, where our team manages and responds to enquiries. Access is limited to staff who need it to respond to you. This website is hosted on Cloudflare Pages. These providers process your information on our behalf and may store it outside Australia.

TO CONFIRM before launch: state how long enquiry records are kept in the CRM, and whether the platform sends SMS/email follow-ups automatically (if so, that should be disclosed here too).

Analytics and cookies

This site does not use cookies for advertising. If website analytics are enabled, we use them only to understand aggregate traffic patterns — such as which pages are visited — with IP addresses anonymised. Analytics do not identify you personally and are not linked to your booking enquiry.

Embedded content

Our enquiry forms are embedded from our customer-management platform (links.xfcgymcarrumdowns.com), which may set its own functional cookies inside the form. The Facilities page embeds a Google Map so you can find us — loading it means Google may receive your IP address and set its own cookies, governed by Google's privacy policy rather than this one. Links to our Instagram, Facebook and YouTube pages take you to those platforms, which have their own policies.

Accessing or correcting your information

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email cd@xfcgym.com.au or call (03) 9770 8401 and we will respond within a reasonable time. There is no charge for making a request.

Complaints

If you think we have mishandled your personal information, contact us first and we will investigate. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
